If you run more than one company, you don’t need a second Tax Optimiser account. You can add each one as another organisation on the login you already have, then switch between them from the top of any page. This article is for people who signed up for their own business. Before you start
- Each organisation is separate. It has its own details, accounting periods, VAT returns and HMRC and Companies House settings. Nothing is copied from your first organisation.
- Billing is separate too. Each organisation has its own payment details and pays its own fees. Paying for one does not cover another.
- Check you haven’t added it already. Open Switch Organisations and look down the list first. Tax Optimiser also warns you if the name matches an organisation you already have.
Create the organisation
- Click Switch Organisations in the bar at the top of the page.
- Click Create Additional Organisation.
- On the Create Organisation form, enter the Organisation Name. This is the only field you must fill in.
- Choose the Company Industry and the Organisation Structure: Sole Trader, Limited Liability Partnership, Limited Company, Partnership, Unlimited Company, Unincorporated Association or Charitable Incorporated Organisation.
- If the organisation is VAT registered, enter the VAT Registration No (nine digits) and choose the VAT Scheme and VAT Entity. Leave them blank if it isn’t.
- Add the Company PAYE Reference if it has one, and the Company Address.
- Click Save.
You can leave anything except the name until later. Everything on this form can be changed afterwards.
If you see “Possible duplicate”
When you click Save, Tax Optimiser checks the name against the organisations already on your login. If one matches, it asks before creating a second:
- Click Cancel if you already have this organisation. Nothing is created, and you can use Switch Organisations to open the existing one.
- Click Create anyway if you really do need a second organisation with the same name. The check is a warning, not a block.
The comparison ignores capitals and spaces at either end, but the name must otherwise match exactly, so “Example Ltd” and “Example Limited” count as different.
Finish the details
After Save you are taken straight to the new organisation’s Organisation page. It is now the one you are working in, and its name shows under yours at the top of the left-hand menu.
The create form doesn’t ask for the company’s registration details, so add them here before you file anything:
- Companies House tab (limited companies only): the Companies House No and the company’s authentication code. If you file your own accounts, your presenter ID goes here too, and the one you already have works for every company. - Tax & VAT tab: the Corporation Tax UTR and the VAT details.
Click Save on each tab. Then set up the organisation’s first year: see How to create an accounting period.
Switch between your organisations
Click Switch Organisations again. Under Change Organisation it lists your other organisations. Click one and you are taken to its dashboard. The organisation you are in is always the name under yours at the top of the left-hand menu, so check it before you enter figures or send anything.
Tax Optimiser remembers the organisation you were last in, so you return to it the next time you log in.
If you added one by mistake
Switch to the organisation you want to remove, click Organisation in the left-hand menu, then Delete organisation. You are shown what will be deleted and asked to type the organisation’s name to confirm. Deleting is permanent. It removes the organisation’s periods, returns and documents. Your login is kept, and you are switched to one of your other organisations.
Do I need a separate login or email address for a second company?
No. Add it with Create Additional Organisation and use Switch Organisations to move between them on the same login.
Does adding an organisation cost anything?
Creating it is free. Each organisation is billed on its own, so fees paid for one organisation do not cover another.
Is my data shared between organisations?
No. Accounting periods, returns, documents, Companies House details and HMRC connections all belong to one organisation. You enter them again for each one.
Can I add a business that is not a limited company?
Yes. Choose the matching Organisation Structure, such as Sole Trader, Partnership or Charitable Incorporated Organisation. The Companies House tab only appears for limited companies.
Why does it say “Possible duplicate”?
You already have an organisation with that name on your login. Click Cancel to go back, or Create anyway if you want a second one.
Can I delete an organisation I no longer need?
Yes. Switch to it, open Organisation and click Delete organisation. This is permanent and removes everything stored for that organisation.
